Hot Weather and Adverse Weather Policy

 

At Steph's Tutoring your health and safety is paramount. This policy aims to to ensure continuity of learning while protecting the health, safety and wellbeing of you, the learner/student and your tutor. 

 

This policy applies to all tuition provided by Steph's Tutoring; including one to one or group tutoring.

 

Our General Principles

  • Our aim is for tutoring lessons to continue wherever it is safe and practical to do so.

  • Lessons will not be cancelled solely because of hot weather or other adverse weather conditions.

  • Where face-to-face tuition cannot safely take place, lessons will be delivered online wherever possible.

 

Hot Weather Arrangements

 

During periods of extreme heat:

  • When applicable, lessons in the Learning Studio or elsewhere will have all fans (or air conditioning equipment) on. 

  • Your tutor (Steph's Tutoring) will supply cold drinking water throughout the lesson. Note: Learners/Students can bring their own drinks or water, however no fizzy drinks are allowed whatsoever. 

  • During the lesson, doors and windows will be open and the lessons will take place in a cool, shaded or well-ventilated environment where possible.

  • Regular comfort breaks may be taken if required. 

  • Activities may be adapted to ensure the comfort and wellbeing of the learner.

  • Lesson times may be adjusted by mutual agreement where this supports health and wellbeing.

 

Adverse Weather Arrangements

 

Adverse weather may include extreme heat, heavy snow, ice, flooding, severe storms or any other conditions that make travel unsafe. If a face-to-face lesson cannot safely take place, Steph's Tutoring will first check the latest UK Government guidance, including advice from the Department for Education, the Met Office and, where appropriate, the UK Health Security Agency, before making a decision. Where it is not safe or practical to deliver tuition in person, the lesson will be delivered online at the scheduled time wherever possible.

 

If exceptional circumstances, such as a power outage or loss of internet connectivity, prevent both face-to-face and online tuition, the lesson will be rearranged at the earliest mutually convenient opportunity.

 

Online Tuition

 

Online lessons will be delivered using an agreed platform, such as Microsoft Teams, Zoom or Google Meet. Learners are expected to:

  • Join lessons on time.

  • Use a suitable device with a reliable internet connection.

  • Participate from a quiet and appropriate learning environment where possible.

  • Follow the expectations for respectful and safe online behaviour.

 

Communication

 

Steph's Tutoring will communicate with learners or parents/carers as soon as possible if adverse weather affects a scheduled lesson. Where a lesson needs to move online, reasonable notice will be given wherever practicable.

 

Continuity of Learning

 

Steph's Tutoring is committed to minimising disruption to learning.

  • Lessons will not normally be cancelled due to hot weather or other adverse weather where online tuition can be provided.

  • Online tuition will be the default alternative where face-to-face tuition is not safe or practical.

  • Cancellation will only occur in exceptional circumstances where, having considered the latest Government guidance and local conditions, neither face-to-face nor online tuition can reasonably take place.

 

Health and Safety

 

Steph's Tutoring reserves the right to refuse face-to-face tuition where travel or environmental conditions present a significant health and safety risk. In such circumstances, every effort will be made to continue the lesson online.

 

Review

 

This policy will be reviewed annually or sooner if Government guidance or operational requirements change.
